Terms & Conditions of Booking

These terms apply to all event bookings made through bookings.amorcoae.org.uk (the "Booking System"), operated by AMORC Africa (the "Order", "we", "us", "our"). By completing a booking you agree to these terms.
1. About these terms
These Terms & Conditions govern your booking and attendance at events listed in the Booking System. Our Privacy Policy explains how we handle your personal data. Booking an event constitutes acceptance of both documents.
2. Who may attend
Some events are open to the public and others are by invitation to AMORC members only. The access conditions for each event are stated on the event page. Where membership is required, the Order reserves the right to verify membership before issuing a booking confirmation.
3. Bookings and confirmation
- Your booking is provisional until payment is confirmed by our payment provider.
- Once payment is confirmed, you will receive a confirmation email and your place is secured up to the capacity of the event.
- Where an event is fully booked, you may be offered a place on a waiting list.
- We may decline or cancel any booking at our reasonable discretion, in which case we will refund any sums paid.
4. Payment
All payments are processed in USD through Paystack, our payment service provider. Paystack is certified to the highest level of the PCI DSS standard for handling card payments.
Card details are entered directly on the payment provider's secure hosted pages. They never touch our servers and we do not store card numbers. Additional authentication is applied by the payment provider where your card issuer requires it.
Receipts for payment are issued by Stripe directly to the email address you provide at the time of booking.
5. Donations
Some events allow an optional donation in addition to the booking fee, or are donation-based without a fixed fee. Donations support the work of the Order at the venue concerned. The donation portion is shown separately on the booking confirmation.
6. Cancellation and refunds
We follow the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. Bookings for events that take place on a specific date are services for leisure activities and are excluded from the statutory 14-day right of cancellation under those regulations.
Our voluntary refund policy is as follows:
- Cancellation by you, more than 30 days before the event: full refund of the booking fee, less any payment-processor charges we cannot recover.
- Cancellation by you, 7 to 30 days before the event: 50% refund of the booking fee.
- Cancellation by you, less than 7 days before the event: no refund of the booking fee, except in exceptional circumstances at our discretion.
- Donations are non-refundable except where required by law.
- Cancellation by us: if the Order cancels or materially changes the date or venue of an event, you will be offered either a transfer to a rescheduled event or a full refund of the booking fee and any donation.
To request a cancellation or refund, email rm.capetown@amorcame.org quoting the registrant's name and the event title. Refunds are issued to the original payment method and typically appear within five to ten working days.
7. Information you provide
When you book you must provide accurate name, email, AMORC membership number and any dietary or transport information so that we can host you properly. You are responsible for the accuracy of this information; we will rely on it for catering, communications and access to the event.
8. Conduct at the event
You agree to conduct yourself with the courtesy and reverence appropriate to an AMORC gathering, to comply with reasonable instructions given by the organising team, and to respect the privacy of fellow attendees. The Order reserves the right to refuse admission or to ask any attendee to leave where conduct is materially disruptive to the gathering.
9. Photography and recording
Photography or audio/video recording at AMORC events is permitted only where expressly indicated by the event organiser. Any photographs taken by the Order at an event may be used for internal records or future communications about the work of the Order. Where photographs identify individual attendees and may be used externally, separate consent will be sought.
10. Liability
Nothing in these terms limits our liability for death or personal injury caused by our negligence, fraud, or for any other liability which cannot be excluded under English law.
Subject to the above, our total liability to you in connection with any booking is limited to the total amount paid by you for that booking. We are not liable for indirect or consequential loss, or for loss arising from circumstances outside our reasonable control (including but not limited to travel disruption, illness, weather, or venue unavailability).
11. Changes to these terms
We may update these terms from time to time. The version applicable to your booking is the version published on the date you made the booking; that version is recorded on your booking record.
12. Governing law
These terms are governed by the laws of the Federal Republic of Nigeria, and any dispute is subject to the exclusive jurisdiction of the courts of the Federal Republic of Nigeria.
